As we discussed in part 1 of this blog, time management is an important trait that every person should have. Recruiters and talent acquisition teams need to practice time management to meet their goals and match their candidates with their dream jobs.

Over the years, several leaders have devised certain time management techniques that have provided great results for people. Here are some of the most famous and useful techniques that can help recruiters in their day-to-day life.

5 Best Time Management Techniques for Recruiters

1. Inbox Zero Method

Almost all recruiters have hundreds of emails coming in every day from different candidates, organizations, agencies, and more. The overwhelming amount of mail can greatly load your upcoming tasks.

But, with the inbox zero method, you can tackle this problem. As per this method, you need to manage your emails as per the following tips:

  • Fix a specific timing of your day for dealing with emails
  • Do not check your email notifications throughout the day. It’s better to switch off email notifications rather than checking every mail that you receive
  • Label your emails as per your priority and respond to the ones that are of utmost important
  • Delegate emails that you can delegate to your colleagues
  • Delete spam and unnecessary emails from your inbox

By decluttering your inbox, you will be able to focus on other important tasks instead of just hovering over your mailbox the entire day.

2. The Eisenhower Technique

Devised by former US President Dwight D. Eisenhower, the Eisenhower technique is widely accepted by various organizations. As per this technique, you have to make four priority quadrants and arrange your task as per that.

As per the above image, you have to sort out the tasks in four equal quadrants.

1st Quadrant

Here, you need to add tasks that need your immediate attention and are important. These are the tasks that you cannot leave to the last minute.

2nd Quadrant

Here you have to add important tasks that can be done later. Though you have to get back to them after completing other urgent tasks, it’s up to you whether you want to delegate or do it by yourself. However, do not wait for these tasks to become urgent.

3rd Quadrant

These are the tasks that are not important but are required urgently. Here, you can easily delegate the tasks amongst other team members to complete them within the stated time.

4th Quadrant

Finally, eliminate the tasks that are neither urgent nor important. Generally, these tasks are just distractions that take up your time and energy. So, it’s better to eliminate them as soon as possible.

3. Eat The Frog

The next technique you should try is the “Eat the Frog.” No, you don’t have to eat a literal frog for this method. Here, your tasks are the frogs that you need to complete no matter what.

Firstly, you need to sort out the tasks based on their urgency and figure out what needs to be done at the moment. Once you have figured it out, get started with the first task and deal with it completely before moving to the second task.

Though there will be distractions and new tasks that you need to look at, avoid doing so while dealing with the task at hand. The benefit of using this technique is that you can accomplish your daily tasks with few distractions and less time.

4. Timeboxing Technique

Timeboxing technique is an advanced version of the Pomodoro technique. Here, you create time periods for specific tasks and breaks and follow the schedule accordingly. In simple words, you have to follow the method of school timetables.

Like each period is 45 minutes and only a single subject is taught, you have to allocate 45 minutes to one task of the day. Create a timetable as per your tasks, and do not forget to include breaks as well. You can either include one long break, add several short breaks, or a combination of both. Here, you need to figure out which timetable works best for you and follow it accordingly.

5. Time Blocking Method

Time blocking is another popular time management technique used by entrepreneurs like Elon Musk and Jack Dorsey. In this method, you have to divide your day into blocks of time. Each block is then dedicated to performing a specific task or group of tasks.

To apply this method, you can divide your working time into blocks of hours. Then, assign each block to a specific task according to their priorities. The idea is to focus on one task at a time in the dedicated time block. You can also use different time blocking apps to use this technique in your daily work.

Final Thoughts

Time management is one of the essential skills for recruiters to master. Without proper time management, it can become difficult to tackle everyday workload, which can later affect your mental as well as physical health.
